Last updated: 30 October 2026

This policy explains what personal information Emily Edwards Beauty collects, why, how long it is kept and what your rights are. If you have any questions, email hello@emilyedwards.beauty or call 07726 910 845.

Who we are

Emily Edwards Beauty is run by Emily Edwards as a sole trader, at Unit 128, DESBOX, East Richardson Street, High Wycombe, HP11 2GG. Emily is the "data controller" for the information described here, which means she decides how it is used and is responsible for looking after it.

What we collect and why

When you book

Bookings are made through Fresha. We receive your name, contact details, the treatment booked, appointment times and any notes you add. We use these to manage your appointment, contact you about it and keep a record of your treatments. Fresha also handles payments; we never see your full card details. Fresha's own privacy policy explains how they use your information.

Legal basis: to provide the service you have booked (contract).

Consultation and consent forms

Before permanent makeup or a piercing we ask about your health (for example allergies, medication, skin conditions or pregnancy), because some conditions affect whether a treatment is safe. We also record your consent to the treatment and, for under-18s, a parent or guardian's details and consent. These forms are completed and stored in Fresha. Health information is "special category" data, so we only use it to decide whether the treatment is safe for you and to care for you afterwards.

Legal basis: to provide the service you have booked, and to provide health-related care; your explicit consent for the health information.

Photos of your treatment

We may take before and after photos to record your treatment and to check healing. We only use photos of you on our website, social media or adverts if you have agreed, and we never name you. Photos you have agreed we can use are kept in our own private photo library, hosted securely, so we can plan posts. You can withdraw that agreement at any time and we will stop using the photos in new posts and remove them from our website and social media accounts where we can.

Legal basis: treatment records (to provide the service); your consent for any marketing use.

Review requests

After your appointment we may send you one email asking if you would like to leave a review. Every email has an unsubscribe link, and you can also reply to tell us to stop.

Legal basis: our legitimate interest in hearing how we did.

Messages and enquiries

If you contact us by email, phone, Instagram, Facebook or TikTok, we keep the conversation so we can reply and refer back to it.

Legal basis: our legitimate interest in answering you, or taking steps you ask for before booking.

Using our website

Our website uses Google Analytics (through Google Tag Manager) to see how many people visit and which pages they use, and the Meta (Facebook) pixel to measure how well our adverts work and to show our adverts to people who have visited. These tools use cookies and collect information such as your device, browser, pages viewed and an approximate location. Fonts are loaded from Adobe Fonts, which receives your IP address to deliver them. Our website does not sell anything and does not ask you to create an account.

When you first visit, a notice tells you about these cookies. You can block or delete cookies at any time in your browser settings, opt out of Google Analytics with Google's opt-out browser add-on (tools.google.com/dlpage/gaoptout), and control which adverts Meta shows you in your Facebook or Instagram ad preferences.

Who we share it with

We don't sell your information. We use these companies to run the business, and they only use your information to provide their service to us:

  • Fresha: bookings, payments, reminders and client records.
  • Google: website analytics, and our Google Business Profile where reviews are posted.
  • Meta (Facebook and Instagram): our social media accounts, adverts and advert measurement.
  • Cloudways: hosting for our website and systems.
  • Elastic Email: sending our emails.
  • Telegram: we use a private Telegram bot to manage our photos and social media posts. Treatment photos you have agreed we can use pass through it.
  • Anthropic (Claude): an AI service that helps us describe photos and write social media posts. Anthropic does not use this information to train its models.
  • Adobe Fonts: fonts on our website.

We will also share information if the law requires it, for example with environmental health or our insurer after an incident.

Some of these companies store information outside the UK, mainly in the US and the EU. Where they do, the transfer is covered by UK adequacy regulations (including the UK–US data bridge) or the UK's approved contract clauses.

How long we keep it

  • Client records, consultation and consent forms, treatment photos: 7 years after your last appointment. These records protect you and us if there is ever a question about a treatment.
  • Photos used on social media or our website: until you ask us to remove them or we no longer need them.
  • Messages and enquiries that don't lead to a booking: up to 2 years.
  • Website analytics: up to 14 months.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct it if it is wrong;
  • ask us to delete it (we may need to keep treatment records for the period above);
  • object to, or ask us to limit, how we use it;
  • withdraw consent at any time, for example for photos or cookies;
  • ask for a copy in a format you can pass to someone else.

Email hello@emilyedwards.beauty and we will reply within one month. It is free.

Deleting your information

To have your information deleted, including anything we hold through our Facebook, Instagram or other connected apps, email hello@emilyedwards.beauty with the subject "Delete my data" and the name and email address or phone number you used with us. We will confirm once it has been deleted, normally within 30 days, and tell you about anything we have to keep for legal or insurance reasons and for how long.

Complaints

If you're unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint or 0303 123 1113.

Changes to this policy

We will update this page if anything changes. The date at the top shows when it was last updated.
